How Google Meet capture works
A meeting bot joins as a participant and may need host approval. The host organization can block external guests or bots, even when your own account is configured correctly. Bot-free desktop capture uses your computer’s audio instead; it does not automatically include video or screen sharing. Check recording consent for either method.
Notta
Invite Notta Bot through Chrome or a connected calendar; admission may be required. Desktop bot-free capture is another option. System audio works on Windows 10+ and macOS 13+, with the required Mac permissions; macOS 11–12 supports microphone audio only. Select audio-only or screen-and-audio capture explicitly.
Fireflies.ai
The Notetaker bot needs the host’s Meet settings to allow guest access. Desktop Take Notes captures system audio without a bot, but saves only a transcript and notes, not an audio or video file. Do not assume bot-free notes include a playable recording.
tl;dv
Use a meeting bot or bot-free desktop capture. The bot must be admitted to record the call. Desktop bot-free capture records microphone and system audio, not video, screen sharing, or chat.
Fathom
The previous bot-based experience supports Meet on Mac and Windows. The new bot-free experience is currently Mac-only. Confirm the available capture mode and saved outputs for your version; bot-free audio capture does not by itself guarantee Meet video capture.
Otter.ai
Invite Otter Notetaker with a valid Meet URL. It appears in the participant list, and the host may need to admit it and allow recording. This is bot-based capture, not desktop system-audio recording.
Meeting duration, transcription minutes, summaries, saved recordings, and integrations can have different plan limits. Check the current plan and capture mode before subscribing.
For teams using both Meet and Webex, see Notta’s calendar requirements and Fireflies’ Webex admission instructions.
Check Google Meet and Webex join requirements
Notta’s calendar guide specifies the supported Webex link format. Fireflies documents its supported conferencing platforms and Google Meet admission steps. Review these current instructions with the meeting host before enabling auto-join.
How to choose
Control calendar access
Connect only the calendar that should trigger capture, and keep auto-join limited while testing internal and external meetings.
Check organization policy
Confirm guest admission, recording consent, meeting-bot policy, and where transcripts or recordings may be stored.
Review sharing defaults
Make sure private events stay private and that summaries are sent only to the intended participants or workspace.
Test the full workflow
Evaluate transcription, summaries, action items, search, exports, and CRM handoff—not only whether the tool can join Meet.

Frequently asked questions
Which AI meeting assistants work with Google Meet?
The five services compared here are listed in the existing service data as supporting Google Meet. Capture methods and plan requirements can differ.
Can I use an AI meeting assistant with both Google Meet and Webex?
Notta and Fireflies document support for both. Notta's calendar integration supports Webex links that include a password. Fireflies can join from a calendar link or a live-meeting invitation. In Google Meet, the host may need to admit the bot, including when it appears in the 'Potential risks' participant section. Neither service can guarantee entry when a host, waiting room, external-guest rule, or organization policy blocks it; test the exact account and meeting setup first.
Why might a meeting bot fail to join Google Meet or Webex?
The meeting host may need to admit it, the meeting may restrict external guests, or an organization policy may block automated participants. Webex links may also need a password for calendar-based Notta joins. Confirm the link and admission rules with the host, then test a meeting before enabling automatic joins.
Can an AI assistant join Google Meet automatically?
Some services can use calendar connections and meeting capture rules. Test auto-join with a limited calendar before enabling it across a team.
What should I check before recording a Google Meet call?
Review consent, guest admission, organization policy, storage, automatic sharing, and whether external participants can see the assistant clearly.
Are Google Meet note takers free?
The five tools in this guide offer a free option or free individual plan, with different limits for minutes, summaries, storage, or integrations.
